Music Pitch Email Template: A Personal Introduction, Not a Blast
Use this structure to introduce one release to one relevant recipient. It is a starting point for a real message, not a substitute for reading the outlet and understanding what it covers.

Choose a subject that identifies the story
Include the artist, release and one useful angle. A subject should help the recipient decide whether the message belongs in their workflow. Avoid fake reply prefixes, invented urgency or claims that a feature is already agreed.
Fictional example: “Mira Vale — Last Bus Home / Bristol field-recording single.” The subject describes the project without claiming that the recipient already knows or supports it.
Make the first sentence genuine
Reference a piece you have actually read or a format you have reviewed. Explain the connection in ordinary language. If you cannot identify one, reconsider whether this is the right person rather than inserting generic praise.
The body needs the music, the date, a specific reason to care and a useful next action. Put detailed history and asset downloads in the linked EPK.

- Confirm the recipient’s preferred submission channel.
- Remove every unused placeholder and unsupported claim.
- Test the listening and press-kit links outside your account.
- Check names, release date and the requested format.
- Record the contact and any follow-up restriction.
